Privacy Policy
This Privacy Policy explains how Peak Ultra ("we," "us," or "our") collects, uses, and protects your personal information when you visit peak-ultra.com or contact us regarding ultramarathon coaching services. By using this site or submitting information through our contact form, you agree to the terms of this policy.
1. Information we collect
When you contact us through the form on this site, we collect the following information:
- Name
- Email address
- Any additional information you choose to include in your message (for example, your running background, goals, or availability)
We do not intentionally collect sensitive personal information (such as medical data) through the contact form. Please only share what you are comfortable discussing in relation to coaching.
2. How we use your information
We use the personal information you provide solely for the following purposes:
- To respond to your inquiry and communicate with you about ultramarathon coaching
- To provide information about coaching options, availability, and pricing
- To send coaching-related communications that you request or reasonably expect (for example, follow-up questions, onboarding details, or updates related to your coaching engagement)
We do not use your information for unrelated marketing, and we do not add you to any newsletter or mailing list without your explicit consent.
3. Legal basis for processing (UK/EU visitors)
If you are located in the UK or EU, we process your personal data based on our legitimate interest in responding to inquiries and providing coaching services, and/or based on your consent when you choose to submit your details via the contact form.
4. Data sharing and third parties
We do not sell, rent, or trade your personal information to third parties.
Your data may be processed through trusted service providers that help operate this website and email communications (for example, web hosting, contact form, and email providers). These providers only process your data on our behalf and are not permitted to use it for their own purposes.
5. Cookies and website usage
This website may use cookies or similar technologies to improve performance, enhance security, and understand basic usage (for example, which pages are visited). Cookies do not typically identify you personally but may collect anonymized or aggregated data such as your browser type, pages viewed, and approximate location.
You can adjust your browser settings to refuse cookies or to alert you when cookies are being used. Please note that disabling cookies may affect how certain parts of the site function.
6. How long we keep your information
We retain contact form submissions and related email correspondence for as long as necessary to:
- Respond to your inquiry and, if applicable, deliver coaching services
- Maintain reasonable records of communications in case of follow-up questions or ongoing coaching
We periodically review stored information and delete data that is no longer needed.
7. Your rights and requesting data deletion
Depending on your location, you may have rights regarding your personal data, including the right to access, correct, or request deletion of the information we hold about you.
If you would like to request a copy of your data, correct your details, or ask that we delete your information, you can contact the coach directly by email. Please provide enough information for us to locate your records (such as your name, email address, and approximate date of contact).
Data deletion requests can be made by emailing the coach using the same email address you used when you first contacted Peak Ultra, where possible.
8. Data security
We take reasonable measures to protect your personal information from unauthorized access, alteration, or disclosure. However, no method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.
9. Updates to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The updated version will be posted on this page with a revised "last updated" date.
10. Contact
If you have any questions about this Privacy Policy or how your data is handled, please contact the coach using the contact form on this page or by email using the address provided in your coaching communication.
Refund and Cancellation Policy
This Refund & Cancellation Policy explains how Peak Ultra handles payments, cancellations, and refunds for coaching services. By booking and paying for coaching, you agree to the terms below.
1. Cancellation & Rescheduling
Coaching calls are scheduled in advance so both you and your coach can plan around them. Please give at least 48 hours’ notice if you need to cancel or reschedule.
- Cancellations or reschedule requests made 48 hours or more before the start time can be moved to a new time, subject to availability.
- Cancellations made with less than 48 hours’ notice or a no-show may result in that session being forfeited.
- If Peak Ultra needs to cancel a session, you’ll be offered a new time as soon as possible.
2. Refunds
Payment for coaching is collected via Venmo during the introductory or coaching call. Because payment is taken at the time of service, refunds are not automatic and are reviewed on a case-by-case basis.
If you believe a refund is appropriate, please email peakultracoach@gmail.com within 7 days of your payment with your name, session date, and a brief explanation of your request.
Monthly coaching commitments are non-refundable once a training plan has been delivered, since significant time and expertise go into building your plan.
3. Contact
If you have any questions about this policy or your specific situation, please reach out at peakultracoach@gmail.com.
